Job Summary

The ideal candidate demonstrates interest in managing accounting activities, including bank reconciliations, accounts payable and accounts receivable. You should also have excellent organizational skills and be able to handle time-sensitive tasks.

Ultimately, you will be responsible for the day-to-day management of our financial transactions and administrative duties of the company.


Duties And Responsibilities

Financial duties

  • Keep accurate records for all daily transactions, maintaining the books of accounts, purchases documents, receipts, and payment vouchers.
  • Process and issue invoices to customers
  • Ensuring that all invoices issued to customers are paid on time.
  • Record  accounts receivable and payables
  • Proper records management including filling and keeping of financial files.
  • Posting of  payments vouchers  into the accounting system
  • Posting of all Petty Cash and Journals
  • Preparing month end report and bank reconciliations
  • Maintaining the fixed asset register
  • Preparation of  monthly payroll and submission of  statutory deduction
  • File month end VAT returns, SDL, PAYE, WCF and NSSF
  • File half year and yearly P9 & P10 tax returns to TRA
  • Assist with budget preparation
  • Participate in financial audit

Administrative duties

  • Coordinate office activities and operations to secure efficiency and compliance to company policies.
  • Supervise administrative staff and divide responsibilities to ensure performance.
  • Manage agendas/travel arrangements/appointments etc. for the upper management.
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Support budgeting and bookkeeping procedures.
  • Create and update records and databases with personnel, financial and other data.
  • Track stocks of office supplies and place orders when necessary.
  • Submit timely reports and prepare presentations/proposals as assigned by CEO.
  • Assist colleagues whenever necessary.
  • Support company operations by maintaining office systems and supervising staff.
  • Maintain office services by organizing office operations and procedures, preparing payroll, controlling correspondence, designing filing systems, reviewing, and approving supply requisitions, and assigning and monitoring clerical functions.
  • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
  • Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments
  • Completes operational requirements by scheduling and assigning employees and following up on work results.
  • Keeps management informed by reviewing and analysing special reports, summarizing information, and identifying trends.

Education Other Skills Required
  • Proven work experience as a Finance and Administration officer or similar role.
  • Minimum of 2 -4 years’ experience in finance and administration.
  • Great organizational and communication skills.
  • Experience with accounting software, like Tally& Quick book.
  • Proficiency in all Microsoft Office applications.
  • Excellent analytical and numerical skills.
  • Sharp time management skills.
  • Bachelor’s degree in accounting or Business Administration or any related degree.
  • Experience with financial reporting requirements.
  • Certified/Chartered Accountant with NBAA is an added advantage.
  • Excellent analytical skills with an attention to details.
  • Ability to multitask is key.
