Job Summary

The purpose of the job

To manage day-to-day logistics operations, through planning, organizing, allocating and managing operating resources so that clients’ mandates are carried out in a timely manner. More specifically the following: -

    • Clearing of clients’ shipments.
    • Transportation of clients’ shipments
    • Provision of warehouse facilities to clients.
    • Efficient and professional execution of relocation assignments of clients’
  • To design, implement and manage systems and procedures that ensure that TJL carries out the logistical mandates given by clients in a manner that reduces operational risk faced by the company during normal business operations
  • Ensure that TJL conducts its business in compliance to the requirements of the laws governing any process we do

Duties And Responsibilities
  • All Containers that have been cleared that are not Shipper’s Owned are returned back to Shipping line as required in good order and we receive the IN Interchanges timely as proof that the containers have been returned. 
  • Proper Filing of those Planning of daily operations to ensure that resources are allocated according to the demands of the open files available.
  • Following up on Operations staff through out the day to ensure that the agreed operating plans / tasks are going according to plan and taking corrective action where there are deviations.
  • Quickly removing blockages to progress that may be encountered by Operations staff as they carry out their daily operations.
  • Ensuring that Customer Shipment Status Reports are updated and sent to clients daily.  
  • Monitoring all Declaration Staff reports to ensure that all files are moving smoothly through a one to one meeting with individual declaration officers’ report
  • Responding to customer’s requirements by allocating portfolio to relationship officers.
  • Responsible for engaging with all our stakeholders and meet their requirements i.e. TRA License Renewal, SUMATRA requirements and license, TAFFA requirements and membership.
  • Responsible for following up all the new procedures that are introduced and affect importers through various stakeholders such as TRA, SUMATRA, TBS, TFDA, GCLA, TPA/ TICTS/ ICD’S, Shipping Lines, etc, etc
  • Responsible for monitoring the Shipping Line staff to ensure that:-Container Deposits that are paid to Shipping Lines are recorded and are timely refunded back to the Company (TJL)
  • Ensuring that requests for funding to Finance Department are done in a timely manner and that payments for clearance procedures are also made without delay once funds are received from Finance Department.
  • Managing the Operations Department (Longroom, Port, Airport, Shipping Line).
  • To manage day-to-day logistics operations, through planning, organizing, allocating and directing operating resources so that clients’ mandates are carried out in a timely manner. 
  • Following up Customs queries and efficiently responding with requirements.
  • Ensuring proper handling and use of company’s resources and assets including funds.
  • Ensuring that all the miscellaneous and all third party payments are well recorded in the files by operational staff to assist with correct accounting of costs and thus invoices.
  • Ensuring that all the files worked for all new jobs are sent to Finance within 24 hours and Invoiced accordingly.   
  • Carrying out random audits on samples of files to check on any fraudulent activities.
  • Visit stakeholders to ensure that repetitive problems that hinder our performance are sorted out.
  • Managing leave schedule for all operational staff ensuring that efficient operations and service delivery is not affected when staff go on leave.
  • Performance management of all staff in the operations department through ensuring that every employee has SMART objectives that feed into the main company objectives.
  • Coming up with and implementing new strategies for improving our efficiency in the company.
  • Management of costs to improve profitability of the business
  • Responsible for training and skills development of the operations staff.Other duties that might be deemed over and above normal routine work.
  • Maintain good and productive relationship with all company’s clients.

Education Other Skills Required
  • Proven work experience as Operations Manager or similar role in Transport and Logistics
  • Knowledge of organizational effectiveness and operations management
  • Experience budgeting and forecasting
  • Familiarity with business and financial principles
  • Excellent communication skills
  • Leadership ability
  • Outstanding organisational skills
  • Bachelors degree in Business Management or any related field
