Job Summary

The individual appointed in this role will be the direct liaison between the HR Department and other functions and Camps.  This individual will be required to ensure the efficient, friendly, and timeous delivery of HR services by working cross-functionally and with other employees.  They will also be required to ensure compliance with labour laws and HR Policies

Duties And Responsibilities
 Payroll Administration
  • Ensure monthly payroll accuracy by tracking all staff changes and that such changes are captured and correctly reported each month.
  • Ensure the monthly payroll file is updated and maintained, and that soft copies are loaded and secured.
  • Track and capture all staff change in the Payroll system (SAGE VIP) and liaise with the Payroll master for salary finalization.
  • Prepare the payroll budget file and provide support on payroll budget administration and implementation and ensure that any changes raised by management during staff budget preparation are accommodated.
  • Communicate all salary changes to staff with approved supporting documentation, such as letters and contracts.
  • Sort out staff and payroll issues by liaising with other related staff, including the Finance team.
Contract Management
  • Issue contracts to newly hired employees based on agreed terms provided.
  • Make sure all staff have a valid contract of employment.
  • Ensure the contract database is up to date and work with line managers one month before contract end to determine way forward.
  • Responsible for highlighting and commenting on all pending contracts.
  • Human Resources and Administration
  • Follow up with the camp managers on the leave master roll.
  • Capture staff leave correctly from the master roll /leave applications and maintain the master roll records in the system.
  • Prepare and provide statistics reports related to HR and update the statistics report file each month.
  • Check that the staff camp loan form requests are completed as per company policy, prepare files for payment, and submit staff loan deductions list to the payroll file.
  • Provide support to the field staff by responding to mails and taking appropriate action.
  • Provide support and participate in staff hearing procedures/meeting/events, such as the annual staff party. 
  • Provide support on staff training and recruitment.
  • Be fully involved in all HR matters, where required.
  • Provide support with the issuing of salary advances, transport allowances, and any other services required by staff, where necessary.

Education Other Skills Required
 Monthly Reporting
  • Provide monthly reports relating to personnel activities, such as staffing, recruitment, promotions, condolences, and babies born.
  • Coordinate the activities related to employee safety, wellness, health, and welfare services, such as the ROBO awards.
  • Perform other duties assigned by the Human Resources Manager or any Country Office management staff.

Qualifications and Experience 
  •  The successful candidate will be required to have the following qualifications and experience:
  • Minimum 2 years’ experience in HR / training / people development. 
  • Degree/Diploma/Certificate in Human Resources (desirable).
  • High proficiency in using MS office suite (Outlook, Word, Excel, PowerPoint).
  • The successful candidate will be required to have flexibility to travel regularly, including to remote camps in Tanzania.
