Job Summary
We are looking for a Senior Safari Operations Assistant, who is passionate about traveling. You will manage travel requirements made for business or holiday and you will provide tourism related services and package tours on behalf of our suppliers. The goal is to keep our clients satisfied and loyal for future services.
Duties And Responsibilities
Ensure the confirmation of accommodation bookings, maintaining clear communication with relevant establishments to guarantee seamless arrangements for safari participants.
Organize and compile comprehensive safari files, containing all necessary documentation and information required for successful safari operations.
Conduct thorough briefings for safari guides and transfer drivers, ensuring they are well-informed about itinerary details, safety protocols, and any relevant information to provide exceptional service.
Facilitate the acquisition of permits from wildlife management authorities (WMA), Tanzania National Parks (TANAPA), and NCAA (Ngorongoro Conservation Area Authority) to ensure compliance with regulations.
Summarize and organize all local flight bookings, ensuring accuracy and efficiency in travel arrangements for safari participants.
Regularly confirm and update flight details to guarantee smooth travel logistics for safari participants.
Oversee and manage the ground operations of transfers and safaris, ensuring timely and efficient execution of transportation services for a greater guest satisfaction.
Take charge of the safari operations store, overseeing inventory management and ensuring all necessary equipment and supplies are available and in good condition.
Manage and reconcile fuel usage for safari vehicles, maintaining accurate records and ensuring efficient fuel management.
Conduct thorough inspections of safari vehicles, preparing detailed reports to ensure the safety and reliability of the fleet.
Manage the issuance of imprests and handle their timely retirement, maintaining proper financial documentation.
Coordinate the procurement and replenishment of safari snacks and drinks, ensuring availability and variety for guests.
Capture and input guest feedback into the Guest Revu system to monitor and enhance the overall safari experience.
Responsibly manage and respond to the duty phone, addressing inquiries and issues as they arise.
Oversee and manage the vehicle movements chart for All Asilia and none Asilia vehicles which we booked with 3rd Party
Working on Summary of the park fees and lunch boxes summary on monthly basis
Book 3rd Party Vehicles when necessary
Book All the lunch boxes request to 3rd Party for Full Board Guest.
Working on Reconciliation of the vehicle days, with Finance Team
Preparing of Invoice and Safari Ops Report to Management.
Be adaptable and ready to undertake additional responsibilities as assigned by senior staff, contributing to the overall success of safari operations.
Education Other Skills Required
Bachelor's degree in Hospitality and Tourism or related field
Excellent speaking and writing English
2 – 6 year in Hospitality, including at least 3-year in Travel industry at positions relevant to Sales, Operators, Tourguides, and Team Leader
Having knowledge of Personel or HR courses is a privilege
Good communication skills
Good usage skills of Excel, Word, M.Office, PPT
Knowledge of Travel Operation Softwares is a privilege
