Job Summary
We are looking for a diligent and detail-oriented Grants Officer on behalf of our client to join their team. The Grants Officer will be responsible for managing the full lifecycle of grant processes, including identifying funding opportunities, proposal development, grant administration, compliance monitoring, and reporting. The ideal candidate will have experience in grant management within the NGO sector, strong communication skills, and a deep understanding of the socio-economic context.
Duties And Responsibilities
Grant Proposal Development:
Research and identify potential funding opportunities from local and international donors.
Collaborate with program teams to develop high-quality grant proposals, including concept notes, budgets, and work plans.
Ensure all proposals align with donor requirements and organizational objectives.
Assist in the development of project narratives, log frames, and monitoring and evaluation plans.
Grant Administration:
Manage the overall grant administration process, from proposal submission to grant closure.
Maintain detailed records of all grant-related documents, including agreements, budgets, and reports.
Coordinate with finance and program teams to ensure accurate financial tracking and reporting of grant funds.
Monitor grant expenditures to ensure compliance with donor regulations and organizational policies.
Compliance and Monitoring:
Ensure adherence to all donor requirements, including reporting deadlines, financial management, and programmatic deliverables.
Conduct regular monitoring visits to project sites to assess grant implementation and compliance.
Work closely with program staff to address any issues or challenges related to grant implementation.
Prepare and submit timely and accurate narrative and financial reports to donors.
Capacity Building:
Provide training and technical assistance to program staff on grant management best practices.
Support the development and implementation of organizational policies and procedures related to grant management.
Assist in building the capacity of local partners and community-based organizations in grant management and compliance.
Communication and Donor Relations:
Serve as the primary point of contact for donors on grant-related matters.
Maintain strong relationships with existing donors and build new relationships with potential funders.
Regularly update donors on the progress of funded projects through meetings, reports, and other communications.
Reporting and Documentation:
Ensure all grant-related documentation is accurately recorded and filed.
Prepare monthly, quarterly, and annual reports on grant performance for internal and external stakeholders.
Contribute to the development of organizational reports, including annual reports and strategic planning documents.
Education Other Skills Required
Bachelor’s degree in Development Studies, Social Sciences, Business Administration, or a related field. A Master’s degree is an added advantage.
At least 1-5 years of experience in grant management, preferably within an NGO setting.
Proven experience in developing successful grant proposals and managing donor-funded projects.
Strong understanding of the Tanzanian socio-economic context and the NGO sector.
Excellent communication skills in both English and Swahili, with the ability to write clear and concise reports.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with grant management software is desirable.
Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
Ability to work independently and as part of a team, with a commitment to meeting deadlines.
