Job Summary
As a Property Officer you will be responsible for overseeing and coordinating the day-to-day operations, maintenance, and administration of assigned properties. This role involves ensuring that properties are well-maintained, compliant with relevant regulations, and occupied by responsible tenants. You will also play a key role in tenant relations, lease management, and property financial oversight.
Duties And Responsibilities
Property Operations & Maintenance:
Regularly inspect properties to ensure they are in good condition and identify any maintenance needs.
Coordinate and oversee repairs, maintenance, and renovation projects, ensuring timely and cost-effective completion.
Manage relationships with contractors, vendors, and service providers to maintain property standards.
Tenant Relations:
Serve as the primary point of contact for tenants, addressing inquiries, concerns, and service requests promptly and professionally.
Manage tenant onboarding, including lease signing, move-in inspections, and orientation to property policies.
Handle tenant complaints, disputes, and conflict resolution in a fair and consistent manner.
Lease & Rent Management:
Administer lease agreements, ensuring compliance with terms and conditions by both the landlord and tenants.
Monitor rent collection and ensure timely payments; follow up on late payments and initiate legal action if necessary.
Manage lease renewals, terminations, and the transition of tenants, including conducting move-out inspections and processing security deposits.
Property Compliance & Safety:
Ensure properties comply with all local, state, and federal regulations, including health and safety standards.
Conduct regular safety inspections and implement corrective actions to mitigate potential hazards.
Maintain accurate records of property inspections, maintenance activities, and compliance documents.
Financial Management:
Assist in budgeting, forecasting, and financial reporting for assigned properties.
Monitor property expenses, including utilities, maintenance costs, and service contracts, ensuring they stay within budget.
Prepare monthly, quarterly, and annual financial reports on property performance.
Administrative Duties:
Maintain organized records of property-related documents, including leases, contracts, invoices, and maintenance logs.
Prepare and submit regular reports to the Property Manager or Director of Operations on property status, tenant issues, and financial performance.
Assist in the preparation of marketing materials and advertisements to attract new tenants.
Education Other Skills Required
Bachelor’s degree in Property Management, Real Estate, Business Administration, or a related field.
Minimum of 2-5 years of experience in property management or a related role.
Strong knowledge of property management principles, real estate law, and property maintenance.
Excellent communication, negotiation, and customer service skills.
Proficiency in property management software and Microsoft Office Suite.
Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
Strong problem-solving skills and the ability to work independently.
Knowledge of financial management and budgeting principles.
Valid driver’s license and reliable transportation.
