Job Summary
As a Transport and Operations Officer you are responsible for coordinating and managing the transportation and logistics operations to ensure the efficient movement of goods, services, and personnel. This role involves overseeing the day-to-day transport activities, maintaining vehicle fleets, ensuring compliance with safety and regulatory standards, and managing logistics to support the company’s operational goals. The officer will work closely with internal teams and external partners to optimize the transport network, reduce costs, and enhance operational efficiency.

Duties And Responsibilities
Transport Management
  • Coordinate and Supervise Transport Activities: Plan, direct, and coordinate the transportation of goods and personnel to ensure timely delivery and operational efficiency.
  • Vehicle Fleet Management: Oversee the maintenance, servicing, and utilization of company vehicles, ensuring they are in optimal condition and meet safety standards.
  • Route Planning: Develop and implement efficient route plans for drivers to optimize travel time, reduce fuel consumption, and lower transportation costs.
  • Schedule Management: Manage and monitor drivers’ schedules to ensure timely deliveries and pickups, while adhering to legal driving time limits and breaks.
  • Logistics Optimization: Analyze transportation data to identify inefficiencies and implement cost-effective improvements in routes, fuel usage, and delivery times.

Operations Management
  • Warehouse Coordination: Collaborate with warehouse teams to manage the loading, unloading, and storage of goods, ensuring that inventory is managed accurately.
  • Documentation and Reporting: Maintain detailed records of transportation operations, including mileage, fuel usage, delivery schedules, and vehicle maintenance logs.
  • Compliance and Safety: Ensure compliance with all transportation laws, regulations, and safety protocols, including licensing, permits, and certifications for vehicles and drivers.
  • Risk Management: Identify and mitigate risks related to transportation and logistics operations, including vehicle accidents, breakdowns, and delays.

Supplier and Vendor Management
  • Vendor Coordination: Liaise with external vendors and suppliers to manage contracts, negotiate rates, and ensure the timely supply of transport-related services and goods.
  • Third-Party Logistics: Manage relationships with third-party logistics providers to ensure they meet company standards for reliability, cost, and service quality.

Team Management
  • Driver Supervision: Manage, train, and motivate drivers and transport staff to ensure high performance, adherence to safety protocols, and excellent customer service.
  • Performance Monitoring: Set performance standards for drivers and transport team members, regularly reviewing performance and addressing any issues or concerns.

Budget and Cost Control
  • Cost Monitoring: Track and analyze transportation costs, aiming to reduce unnecessary expenses without compromising service quality.
  • Budgeting: Assist in preparing and managing the transport and logistics department’s budget, ensuring that all operations stay within budget constraints.

Customer Service
  • Client Communication: Coordinate with customers to provide updates on delivery schedules and respond to inquiries related to transportation services.
  • Service Improvement: Continuously improve the quality of transportation services by responding to feedback and addressing any issues raised by clients or internal teams.

Education Other Skills Required
  • Bachelor’s degree in Logistics, Transportation Management, Supply Chain Management, Business Administration, or a related field.
  • A minimum of 3-5 years of experience in transport operations, logistics, or a similar role.
  • Any relevant certifications in logistics or transport management are advantageous.
 
Skills and Competencies
Transport Management Expertise: Strong understanding of transport operations, route planning, fleet management, and vehicle maintenance.
Organizational Skills: Excellent ability to manage multiple tasks, prioritize responsibilities, and ensure timely deliveries.
Problem-Solving Skills: Strong analytical and problem-solving abilities to manage unexpected issues in transportation and logistics.
Leadership: Proven ability to supervise and lead a team, ensuring all transport staff adhere to company policies and maintain high performance.
Communication Skills: Strong verbal and written communication skills to interact with internal teams, suppliers, and customers.
Technical Proficiency: Familiarity with transport management software, GPS systems, and Microsoft Office tools (Word, Excel, etc.).
Safety-Oriented: In-depth knowledge of transportation safety regulations and the ability to enforce compliance with safety protocols.
