Job Summary
We are seeking to hire a highly organized and detail-oriented Executive Secretary with exceptional administrative and clerical skills. The Executive Secretary will provide high-level support to executives and management, ensuring smooth office operations and handling confidential information with discretion. This role requires the ability to multi-task, manage time effectively, and work well under pressure in a fast-paced environment.

Duties And Responsibilities
  • Perform accurate research and analysis to support executive decision-making.
  • Coordinate arrangements for meetings, conferences, and special events as assigned.
  • Take dictation, draft, and prepare correspondence on behalf of executives.
  • Compile, proofread, and revise drafts of documents, reports, and presentations.
  • Maintain daily record keeping, filing, and retrieval of documents.
  • Prepare accurate reports, presentations, and correspondence efficiently.
  • Create and organize reference tools and information for executive use.
  • Answer and screen telephone calls, respond to emails, and handle other correspondence.
  • Operate and maintain office equipment, ensuring it is functioning properly.
  • Manage a busy calendar, including scheduling and coordinating meetings and appointments.
  • Arrange travel plans, itineraries, and accommodation for executives.
  • Professionally greet and receive guests and clients, ensuring a welcoming environment.
  • Provide efficient and effective administrative support, including managing sensitive information and confidential documentation.

Education Other Skills Required
  • Bachelor's Degree in Business Administration, Office Management, Secretarial Studies, or a related field.
  • Proven experience as an Executive Secretary, Personal Assistant, or in a similar administrative role.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and office management software.
  • Excellent verbal and written communication skills in English and Kiswahili.
  • Strong ability to organize, prioritize tasks, and handle multiple responsibilities efficiently.
  • Accuracy in drafting, proofreading, and managing documentation.
  • Exceptional time management and ability to meet tight deadlines.
  • High level of discretion when handling sensitive and confidential information.
  • Strong problem-solving abilities and the capability to anticipate and address issues proactively.
  • Flexibility to handle a variety of tasks and adjust to the evolving needs of executives.
  • Polished demeanor with the ability to interact professionally with executives, clients, and stakeholders.
