Job Summary
We are seeking to hire a highly organized and detail-oriented Executive Secretary with exceptional administrative and clerical skills. The Executive Secretary will provide high-level support to executives and management, ensuring smooth office operations and handling confidential information with discretion. This role requires the ability to multi-task, manage time effectively, and work well under pressure in a fast-paced environment.
Duties And Responsibilities
Perform accurate research and analysis to support executive decision-making.
Coordinate arrangements for meetings, conferences, and special events as assigned.
Take dictation, draft, and prepare correspondence on behalf of executives.
Compile, proofread, and revise drafts of documents, reports, and presentations.
Maintain daily record keeping, filing, and retrieval of documents.
Prepare accurate reports, presentations, and correspondence efficiently.
Create and organize reference tools and information for executive use.
Answer and screen telephone calls, respond to emails, and handle other correspondence.
Operate and maintain office equipment, ensuring it is functioning properly.
Manage a busy calendar, including scheduling and coordinating meetings and appointments.
Arrange travel plans, itineraries, and accommodation for executives.
Professionally greet and receive guests and clients, ensuring a welcoming environment.
Provide efficient and effective administrative support, including managing sensitive information and confidential documentation.
Education Other Skills Required
Bachelor's Degree in Business Administration, Office Management, Secretarial Studies, or a related field.
Proven experience as an Executive Secretary, Personal Assistant, or in a similar administrative role.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and office management software.
Excellent verbal and written communication skills in English and Kiswahili.
Strong ability to organize, prioritize tasks, and handle multiple responsibilities efficiently.
Accuracy in drafting, proofreading, and managing documentation.
Exceptional time management and ability to meet tight deadlines.
High level of discretion when handling sensitive and confidential information.
Strong problem-solving abilities and the capability to anticipate and address issues proactively.
Flexibility to handle a variety of tasks and adjust to the evolving needs of executives.
Polished demeanor with the ability to interact professionally with executives, clients, and stakeholders.
