Job Summary
As an Operations Manager at our company, you will be responsible for overseeing and coordinating the day-to-day operational activities of our transportation services. Working closely with our team of operations, and Finance, you will ensure that all transportation operations run smoothly efficiently, clients are well serviced and in compliance with regulatory requirements.

Duties And Responsibilities
  • Daily review of updates on the company's system, this involve also reviewing the correctness and completeness of the information updated by other team members.
  • Follow up with operations staff to ensure that all required documents are in order before loading, departure and offloading of the cargo.
  • To oversee and ensure that there are enough and available trucks in the system to cover allocations at all times and for all destinations. 
  • Develop and build strong relationships with transportation carriers.
  • Communicating and negotiating transportation fee to with both clients and Transporters.
  • Timely follow up and resolve customers and transporters queries as escalated by the team.
  • Daily follow up on the shipment updates and push for clients’ consignments to be delivered within the agreed time while ensuring immediate resolutions for complains arising from the delivery process.
  • Dealing with special arrangements for transporting delicate and dangerous cargoes, such as food and medical supplies.
  • Ensure that all financial request and transactions are well handled (review & approval) and ensure Managing and Chief Information Officer is well informed.
  • Regular review of the client’s and transporters files and ensure documentation is done with accuracy and timely as required. 
  • Advise the Operations team on the transporters performance to ensure effective and efficient vehicle allocations for shipment.
  • Provide supervision, guidance, and support to all team members regarding operations, standardized procedures, and systems.
  • Consistency of cost effectiveness and efficiencies on daily operations.
  • Design clients meeting activities and take note for further follow up/actions.
  • Ensure weekly update of activities to both the CIO and Managing Director.
  • Assist in the development of SOP’s and ensure SOP’s are being followed for shipments, rates, import/export and customer service.
  • Manage, control and supervise the daily activities of the operations staff.
  • Responsible to mentor, train, and develop designated operations staff.
  • Coordinate with all units in the company both in operations and non-operations.
  • Make sure all incidents and near misses are investigated, reported and resolved. 
  • Coordinate with border agents for shipment border clearance at each border as agreed by the management. E.g.  (Tunduma, Rusumo & Kabanga).
  • Regular monitoring transporters performance and resolving issues arising during the route cycle of trucks loaded with the company.
  • Work with other teams and departments within company to coordinate transportation services.
  • Assist Operations Manager in managing day to day operations.
  • Any other job assigned by the supervisor/management.

Education Other Skills Required
  • Bachelor Degree/Diploma in Clearing and Forwarding, Logistics and Transport management, and Procurement Management from a recognized institution.
  • 5-10 years working experience in Clearing and Forwarding, logistics industry.
  • Able to use Ms Office properly (Office 365).
  • Understanding of TRA & Port systems is an added advantage.
  • SAP knowledge is an added advantage
  • Excellent communication and interpersonal skills.
  • Good time and resource management skills.
  • Excellent organizational and leadership skills.
  • Ability to develop plans, programs, and coordination of workflows.
  • Familiarity with Service delivery in relation to the Freight Forwarding activity.
  • Excellent problem-solving skills and diplomacy.
  • Ability to write and translate complex reports.
  • Analytical and computational skills.
  • Numerical skills


 KEY PERFORMANCE OBJECTIVES
  • 95% Achieve agreed transit time per destination.
  • Weekly and Monthly Transporters Performance Analysis Report.
  • Customer Satisfaction Score card: This will be assessed through regular client feedback surveys or ratings.
  • On-time Delivery Performance: This KPI demonstrates the efficiency and reliability of the company operations.
  • Cargo Delivery Safely: Measure the percentage of client cargothat are delivered safely, without any short handing. 
  • Response Time: Monitor the average time taken to respond to client inquiries, concerns, or complaints.
  • Client Retention Rate: A higher client retention rate indicates stronger client relationships and customer loyalty.
  • On time client’s cargo tracking on Company systems. 
  • Transporters Retention Rate: A higher transporters retention rate indicates stronger relationships and customer loyalty.
  • Upselling or Cross-selling Conversion Rate: Measure the ability to convince transporters or clients into purchasing additional services from the company.
  • Timely receiving and approving vehicles and transporter application via company's system.
  • Timely approving and delivery confirmation of clients and transporters request via company's system.
  • 100% completed initial documentation from clients and transporters before and after loading.
  • 100% daily client’s and transporter status report
  • Weekly and monthly clientele analysis reports.
  • 24 hours turn around for resolution of complaints
