We are seeking a highly organized and proactive Virtual Executive Assistant to provide top-tier administrative support to our executive team.

The Virtual Executive Assistant will play a pivotal role in ensuring the smooth operation of the executive office. You will handle a range of administrative tasks, such as calendar management, communications, and logistics coordination, all while maintaining a high standard of professionalism and confidentiality. This role is ideal for someone with a strong background in supporting senior executives remotely, ideally in the hospitality or tourism sectors.

Duties And Responsibilities
  • Calendar & Schedule Management:Coordinate and manage the schedules of senior executives, ensuring efficient time management, prioritization of meetings, and proactive handling of changes or cancellations.
  • Travel & Logistics Coordination:Arrange domestic and international travel for executives, including accommodations, transportation, and itineraries. Ensure all travel is aligned with the executive's preferences and business needs.
  • Email & Communication Management:Handle incoming and outgoing communications, including emails, phone calls, and other messages. Draft, proofread, and send professional communications on behalf of the executives.
  • Documentation & Reporting: Prepare and organize documents for meetings, presentations, and reports. Maintain confidential files and ensure proper organization of all business-related documentation.
  • Meeting Preparation & Support: Schedule and coordinate virtual and in-person meetings, ensuring all logistics are covered. Prepare agendas, take minutes, and follow up on action items.
  • Research & Project Management: Conduct research as requested by the executive team, whether it’s industry trends, competitor analysis, or travel destinations. Assist in managing ongoing projects and ensure deadlines are met.
  • Customer Relations: Communicate with clients, partners, and other stakeholders, ensuring a seamless and professional experience. Assist in managing VIP client requests and lodge-related inquiries.
  • Ad-Hoc Administrative Support: Provide additional administrative support as required, including personal tasks for the executives, data entry, and other duties.

Education Other Skills Required
  • Bachelor’s degree in Business Administration, Hospitality Management, or related field.
  • At least 3 years of experience as an Executive Assistant or Virtual Assistant, preferably within the hospitality, tourism, or luxury services sectors.
  • Strong organizational skills with the ability to manage multiple priorities and tasks.
  • Excellent verbal and written communication skills, with a high level of professionalism.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Gmail).
  • Strong problem-solving skills and the ability to work autonomously with minimal supervision.
  • Experience using virtual collaboration tools (Zoom, Slack, Trello, Asana, etc.).
  • High attention to detail and ability to handle confidential information.
  • Proactive, adaptable, and able to anticipate the needs of executives.
  • Ability to work independently in a remote setting, while remaining closely aligned with the lodge’s goals.
  • A passion for the tourism and hospitality industry, with an understanding of the high standards required in a luxury environment.
