Job Summary
The Executive Assistant will provide high-level administrative support to the leadership team of our legal firm, ensuring the smooth operation of day-to-day activities. This role demands excellent organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced legal environment.

Duties And Responsibilities
  • Manage the calendar, appointments, and travel arrangements for senior executives, ensuring efficient time management.
  • Prepare, edit, and format legal documents, correspondence, and presentations with precision.
  • Coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Handle confidential and time-sensitive information with discretion.
  • Act as the first point of contact for internal and external inquiries, demonstrating professionalism in all communications.
  • Draft and review correspondence, ensuring clarity and compliance with legal standards.
  • Liaise with clients, court officials, and other stakeholders to ensure seamless interactions.
  • Maintain an organized filing system, both physical and digital, for legal documents and records.
  • Assist in preparing reports, conducting research, and gathering data for case preparation or firm operations.
  • Coordinate special projects and initiatives as directed by the executive team.
  • Plan and organize internal events, training sessions, and team-building activities.
  • Oversee office operations, including supplies, vendor management, and facility maintenance as needed.

Education Other Skills Required
  • Bachelor’s degree in Business Administration, Legal Studies, or a related field.
  • Minimum of 3 years of experience as an Executive Assistant, preferably in a legal or professional services firm.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal software systems.
  • Strong organizational and time-management skills with the ability to prioritize and multitask effectively.
  • Exceptional written and verbal communication skills.
  • Familiarity with legal terminology and processes.
  • Experience handling confidential and sensitive information within a legal framework.
  • High level of professionalism and integrity.
  • Detail-oriented and proactive problem solver.
  • Ability to thrive under pressure and meet tight deadlines.
  • Strong interpersonal skills with a customer-centric approach.
