Job Summary
The Executive Assistant will provide high-level administrative support to the leadership team of our legal firm, ensuring the smooth operation of day-to-day activities. This role demands excellent organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced legal environment.
Duties And Responsibilities
Manage the calendar, appointments, and travel arrangements for senior executives, ensuring efficient time management.
Prepare, edit, and format legal documents, correspondence, and presentations with precision.
Coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
Handle confidential and time-sensitive information with discretion.
Act as the first point of contact for internal and external inquiries, demonstrating professionalism in all communications.
Draft and review correspondence, ensuring clarity and compliance with legal standards.
Liaise with clients, court officials, and other stakeholders to ensure seamless interactions.
Maintain an organized filing system, both physical and digital, for legal documents and records.
Assist in preparing reports, conducting research, and gathering data for case preparation or firm operations.
Coordinate special projects and initiatives as directed by the executive team.
Plan and organize internal events, training sessions, and team-building activities.
Oversee office operations, including supplies, vendor management, and facility maintenance as needed.
Education Other Skills Required
Bachelor’s degree in Business Administration, Legal Studies, or a related field.
Minimum of 3 years of experience as an Executive Assistant, preferably in a legal or professional services firm.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal software systems.
Strong organizational and time-management skills with the ability to prioritize and multitask effectively.
Exceptional written and verbal communication skills.
Familiarity with legal terminology and processes.
