Job Summary
We are seeking a proactive and detail-oriented Supply Chain Officer to support the efficient procurement, logistics, and inventory management of our NGO’s operations. This role is crucial in ensuring that all supply chain activities align with the organization’s mission, budget, and compliance requirements. The ideal candidate will have experience in procurement, warehousing, vendor management, and distribution logisticswithin the nonprofit sector.
Duties And Responsibilities
Oversee end-to-end procurement processes, ensuring cost-effectiveness and compliance with internal policies.
Identify and evaluate reliable suppliers, negotiate contracts, and manage vendor relationships.
Ensure timely and transparent procurement, minimizing risks and delays.
Maintain an up-to-date supplier database, tracking performance and service quality.
Coordinate the transportation, storage, and deliveryof goods and materials to project sites.
Develop efficient logistics strategies, optimizing routes and minimizing costs.
Ensure proper documentation for shipping, customs clearance, and regulatory compliance.
Manage inventory tracking systems, ensuring accuracy in stock levels and movements.
Implement proper storage proceduresto prevent losses, damages, or expiries.
Conduct regular stock audits and reconcile discrepancies to maintain accountability.
Ensure that all supply chain activities comply with organizational policies, donor requirements, and local regulations.
Monitor potential supply chain risks and implement mitigation strategies.
Maintain accurate records of procurement transactions, contracts, and logistics reports for audits and reporting.
Identify opportunities to streamline supply chain operationsfor greater efficiency.
Develop and present reports on procurement performance, cost analysis, and supply chain effectiveness.
Collaborate with cross-functional teams to ensure seamless supply chain integration.
Education Other Skills Required
Bachelor’s degree in Supply Chain Management, Procurement, Logistics, Business Administration, or a related field.
3+ years of experiencein supply chain, procurement, or logisticswithin an NGO or humanitarian setting.
Professional certifications such as CIPS (Chartered Institute of Procurement & Supply) or equivalent are an advantage.
Strong knowledge of procurement best practices, vendor management, and contract negotiation.
Proficiency in supply chain management systems and ERP software.
Experience handling compliance with donor regulations and local procurement laws.
Understanding of warehousing, inventory control, and fleet management.
Strong problem-solving and analytical skillswith attention to detail.
Excellent negotiation, communication, and interpersonal skills.
Ability to work under pressure, manage multiple tasks, and meet deadlines.
