Job Summary
As an Import & Export Controller you will be responsible for managing and overseeing all activities related to the import and export of goods, ensuring compliance with all regulatory requirements and optimizing the flow of products in and out of the company. This role involves coordinating with various internal departments, freight forwarders, customs brokers, and suppliers to ensure the smooth and efficient movement of goods across borders.

Duties And Responsibilities
Import and Export Operations:
  • Manage all import and export operations, including documentation, shipping, customs clearance, and delivery of goods.
  • Ensure timely and cost-effective transportation of goods, coordinating with freight forwarders, shipping lines, and logistics providers.
  • Prepare and review all necessary documentation for import/export shipments, including invoices, packing lists, bills of lading, certificates of origin, and other relevant documents.

Customs Compliance:
  • Ensure compliance with all customs regulations and international trade laws, including classification, valuation, and country of origin requirements.
  • Liaise with customs brokers and government agencies to resolve any issues related to customs clearance.
  • Keep up-to-date with changes in customs regulations and international trade laws, ensuring the company’s import/export activities remain compliant.

Inventory and Shipment Coordination:
  • Coordinate with the procurement, production, and warehouse teams to ensure accurate inventory levels and timely delivery of goods.
  • Monitor and track shipments to ensure they are delivered on time and in good condition, addressing any delays or discrepancies.
  • Manage the return and exchange of goods, ensuring proper documentation and compliance with return policies.
Cost Management:
  • Monitor and control import/export costs, seeking opportunities to reduce expenses through effective negotiation with suppliers, carriers, and service providers.
  • Analyze shipping and logistics costs, providing recommendations for cost-saving measures and process improvements.
  • Ensure accurate and timely payment of duties, taxes, and other import/export-related charges.

Vendor and Stakeholder Management:
  • Build and maintain strong relationships with suppliers, freight forwarders, customs brokers, and other key stakeholders.
  • Negotiate contracts and service agreements with logistics providers to secure favorable terms and conditions.
  • Collaborate with internal teams, including sales, procurement, and finance, to ensure alignment and support for import/export activities.

Reporting and Documentation:
  • Maintain accurate records of all import/export transactions, ensuring compliance with internal and external audit requirements.
  • Prepare and present regular reports on import/export activities, including shipment status, costs, and compliance metrics.
  • Analyze data to identify trends, issues, and opportunities for improvement in import/export processes.

Risk Management:
  • Identify and mitigate risks associated with the import/export process, including customs delays, supply chain disruptions, and regulatory changes.
  • Develop and implement contingency plans to address potential disruptions in the supply chain.
  • Ensure that all goods are insured against loss or damage during transit, managing claims as necessary.

Education Other Skills Required
  • Bachelor’s degree in Supply Chain Management, Logistics, International Trade, or a related field.
  • Minimum of 2 years of experience in import/export operations, logistics, or supply chain management.
  • Strong knowledge of customs regulations, international trade laws, and import/export documentation.
  • Excellent organizational and problem-solving skills, with the ability to manage multiple tasks and priorities.
  • Strong communication and negotiation skills, with the ability to work effectively with internal and external stakeholders.
  • Proficiency in logistics software, ERP systems, and Microsoft Office Suite.
  • Attention to detail and a strong commitment to compliance and accuracy.
  • Professional certification in international trade, logistics, or supply chain management (e.g., CILT, APICS, FIATA).
  • Experience in a specific industry relevant to the company's products (e.g., manufacturing, retail, automotive).
  • Familiarity with global trade agreements and tariff classifications.
